Functions of Society Manager
• Email Correspondence Respond to emails and manage daily communication efficiently.
• Administrative Duties Perform routine administrative tasks to ensure smooth society operations.
• Cheque Management Deposit cheques in the designated banks and issue official receipts to residents.
• Grievance Handling Attend to member complaints and escalate unresolved issues to the managing committee.
• Team Coordination Supervise and coordinate with security and housekeeping staff for daily functioning.
• Premises Inspection Conduct regular site visits to ensure cleanliness, maintenance, and staff accountability.
• Document Drafting Prepare NOCs for sale, lease, address verification, and passport purposes, and obtain necessary approvals.
Core Functions Performed by Legal Team
• Draft response to complaints / queries / enquiries raised by authorities.
• Provide guidance on resolving any issues raised by authorities.
• Provide advice to CHS on matters such as nomination transfer,
Bonafide membership etc and support members with essential paperwork (cost for such paperwork required from individual members to be advised to and will be borne by the member).
• Handle response to legal notices against CHS.
• Represent CHS for legal appearances (additional cost).
• Assist in deemed conveyance / conveyance deed.
• Issuing notices for recovery of maintenance, if required.
• Conducting Elections lawfully and as per the norms of MCS Act 1960
Elections of Society
The conduct of elections is a fundamental and statutory obligation of any registered society. As mandated, society elections are to be held every five years, as well as in the event of resignation or vacancy of any Managing Committee member. These processes are to be carried out in coordination with the Returning Officer appointed by the Deputy Registrar of Societies. Despite the procedural complexity and regulatory compliance involved, these election-related responsibilities have been efficiently and seamlessly managed by our Legal Team, ensuring full adherence to applicable laws and bye-laws.
Functions of Compliance Manager
• Meeting Documentation Draft the agenda and minutes for Managing Committee (MC) meetings, Annual General Meetings (AGM), Special General Meetings (SGM), and Extra-Ordinary General Meetings (EGM).
• Statutory Compliance Ensure timely submission of statutory forms such as Form “O” and Form “Y” to the appropriate authorities.
• Document Verification Vet transfer documents for sale or assignment of flats, ensuring completeness and compliance with society rules.
• Maintaining Statutory Registers which include:-
– “I” register
– “J” register
– Share register
– Share transfer register
– Nomination register
– Lien register
– Fixed Assets register
– Investment register
– Sinking fund register
• Ensuring timely Audit is completed and the Annual Reports are received by the Society on time
• In short, Compliance manager makes sure society is running as per Maharashtra Cooperative Societies ACT 1960 and its Latest Bye Laws.
Functions of Accounting
• Weekly visit by our accountant to scrutinize the vouchers against respective entries and making entries of the same in respective software used by the societies
• Preparing Books of Accounts and presenting it to the Auditors for Audit purpose and resolving their queries
• Drafting replies to any queries raised by Income Tax Department in coordination with the Auditor.
Hand over from Developer
It is often observed that the Provisional Managing Committee may not be fully acquainted with the legal documentation and procedural requirements involved in the process of taking over the Society from the builder.
